Account & Data Deletion

At Vecinity (operated by Claviu SAS) we respect your right to control your personal data. This policy explains how to request the deletion of your account and data from the Vecinity platform, what data is deleted, what is retained due to legal obligations, response times, and how information that cannot be deleted is anonymized.
1. How to request deletion
To request the deletion of your account and personal data, send an email to privacidad@vecinity.co with the subject "Data Deletion Request - Vecinity". You can also ask your community administration to submit the request on your behalf from the Vecinity administrative panel. For security purposes, we will verify your identity before processing any request.
- Full legal name as registered on the platform
- Email address associated with your Vecinity account
- Name of the community, complex or building
- Unit or apartment number (if applicable)
2. Data that is deleted
Upon a valid request, we permanently delete or anonymize the following data:
- Profile information: name, phone, email and profile photo
- Login credentials and authentication data
- Contact and notification preferences
- Device tokens and push notification identifiers (FCM/APNs)
- Personal messages and non-essential communications
- Common area reservation history (anonymized)
3. Data retained by law
Certain information must be retained for legal, accounting or security obligations. This data is not deleted but is anonymized where possible:
- Financial and payment records (required for tax and accounting purposes)
- Requests and PQRs and their resolutions, for legal traceability
- Visitor entry and exit records from the front desk module (community security)
- Property records and assembly participation
These records are retained in accordance with Colombian law (including the Commercial Code, which requires 10-year document retention) and Law 675 of 2001 on horizontal property.
4. Timelines
We process deletion requests within the following timelines:
- Request acknowledgment: within 2 business days
- Identity verification: 3 to 5 business days
- Deletion processing: up to 15 business days after verification
- Total maximum time: 30 calendar days from the request
5. Anonymization
When complete deletion is not possible due to legal requirements, we apply anonymization techniques: we replace personal identifiers with random codes, permanently delete contact information, and keep only operational data without personal attribution. After anonymization, the remaining data cannot be linked back to you and is no longer considered personal data.
6. Effects of deletion
Please be aware of the following consequences of data deletion:
- Your Vecinity account will be permanently deactivated
- You will lose access to the platform and all its features
- You will no longer receive community notifications via the platform
- Active reservations will be cancelled
- If you are an owner, your voting rights and assembly participation records will be transferred to the Property archives
- Open requests or PQRs will be closed with the status "User Requested Deletion"
Data deletion is irreversible. If you later wish to use Vecinity, you will need to create a new account.
7. Third-party data deletion
Vecinity integrates with third-party services for messaging, payments and email. When you request deletion:
- We will request deletion of your data from our messaging providers (Meta's WhatsApp Business Platform)
- Payment processor records are subject to their own retention policies and financial regulations
- Data held by our email provider will be deleted in accordance with our data processing agreements
- If you have direct accounts with these providers, you may need to request deletion from them separately
8. Special circumstances
Data deletion requests may be delayed or denied in the following situations:
- Outstanding debts or unresolved financial obligations to the Property
- Ongoing legal proceedings or disputes involving your account
- Active investigations related to security incidents
- Incomplete identity verification or requests made by unauthorized persons
We will notify you of any issues and work with you to resolve them before proceeding with deletion.

10. Legal basis
This policy is established in accordance with Law 1581 of 2012 (Personal Data Protection), Regulatory Decree 1377 of 2013, the Colombian Commercial Code, Law 675 of 2001 on horizontal property, and the guidelines of the Superintendence of Industry and Commerce.
